- Proven experience in an administrative role or similar position.
**Job Summary**
This role involves managing day-to-day administrative tasks, facilitating communication, and ensuring the smooth functioning of the executive office. The Executive Secretary handles confidential information, coordinates schedules, organizes meetings, prepares reports, and liaises between the executive and internal/external stakeholders.
**Responsibilities**:
- Read and analyze incoming memos, submissions, and reports in order to determine their significance and plan their distribution.
- File and retrieve corporate documents, records, and reports.
- Greet visitors and determine whether they should be given access to specific individuals
- Prepare responses to correspondence containing routine inquiries.
- Perform general office duties such as ordering supplies, maintaining records management systems, and performing basic bookkeeping work.
- Prepare agendas and make arrangements for committee, board, and other meetings.
- Make travel arrangements for executives.
**Knowledge and Skills**
- Proficient in MS Office suite (Word, Excel, Outlook) and other relevant software.
- Strong organizational and time management skills.
- Excellent verbal and written communication skills.
- Ability to handle confidential information with discretion.
- Detail-oriented and able to multitask in a fast-paced environment.
