Strategic Operations Executive

Job Purpose

- To oversee operational activities and manage facilities while implementing best practices for supplier and customer relationship management, operations optimization, and building energy services management.\
- To improve the overall operational efficiency of managed assets and maintain high customer satisfaction to help achieve business objectives.\\/ul>\
Key Accountabilities
\- \
- Contribute to developing the overall Site Operations strategy and participate in company strategy development in line with vision, mission, and business objectives.\
- Deliver Operations Management strategy for Contractual Sites of assigned assets ensuring contractual commitments are met.\
- Participate and recommend actions to maximize effective achievement of Site Contract's objectives by leading Site Operations team, setting individual objectives, managing performance, developing and motivating staff, and providing formal and informal feedback and appraisals to maximize subordinates' and business unit's performance.\
- Assist Contract Manager in defining optimal division structure to ensure resources are utilized optimally and communication takes place efficiently.\
- Participate in budgeting process for Site Operations business unit and monitor financial performance versus budget to ensure business is aware of anticipated costs/revenues, areas of unsatisfactory performance, and potential cost reduction areas identified, and performance improvement opportunities realized.\
- Lead and manage Site Operations ensuring planning and allocation of all resources, and implementation of appropriate standards and controls to ensure all activities are carried out efficiently and effectively to meet and exceed objectives.\
- Discuss Site-Specific-Budgets with customers including CAPEX, advise customers on expenditures, opportunities for cost reductions, and viability/feasibility of changing/buying assets to ensure customers' budgeting is accurate.\
- Monitor SLAs for portfolio of assets and ensure they are aligned to service delivery, customer expectations, and expectations from suppliers/service partners to achieve quality service delivery, effective supplier relationship management, and profitability.\
- Monitor service delivery performance and participate in evaluation of suppliers' performance to ensure selection of appropriately qualified service providers/contractors at optimum price to deliver expected quality of service.\
- Monitor resource utilization for Site Operations to ensure right number and talent is available for running operations, accomplishing targets, improving customer satisfaction, and achieving business objectives.\
- Monitor and control execution of maintenance contracts, review preventive and corrective maintenance programs, and supervise implementation by employees or assigned contractor(s) through reviewing reports and spot-checking as appropriate to ensure provision of quality maintenance works to assets/facilities.\
- Monitor process of quotation requests, and preparation of Purchase Orders and Vendor Contracts, approve same, and ensure purchasing process is optimized to guarantee provision of products/services to company/customer on time and avoid operational delays.\
- Ensure Annual Leave Planner is completed to have holistic view on forecasted leaves and employees' availabilities throughout year to guarantee appropriate resourcing and business operations do not get interrupted.\
- Recommend revision of contracts' scope of work when Site conditions change.\
- Ensure monitoring of subcontracting of works such as fire systems, gas, emergency lighting, vertical transportation, water treatment, tank cleaning, etc. Ensure subcontractors fulfill duties accurately and as per agreed upon contractual clauses, and manage subcontractors' evaluations and negotiations while ensuring chosen subcontractors are approved by relevant authorities to guarantee compliance with regulatory framework.\
- Monitor physical and documentation audits being conducted on subcontractors to ensure work is being conducted properly and customers are being served with highest quality standards, and take necessary actions upon detection of unreported/undisclosed variations and/or poor performance to safeguard company against any liabilities.\
- Ensure operational audits of staff and customers are conducted to gather feedback and monitor satisfaction in order to improve Site operations and facilities management services.\
- Perform other related duties or assignments as directed.\\/ul>\
Qualifications, Experiences & Skills
\- \
- Bachelor's Degree in Electrical or Mechanical Engineering, CAFM knowledge is also preferable.\
- 10 – 12 years' experience in operations management including 4 years in managerial role; exposure to Maintenance and Facilities Management especially in areas of operations planning, HSEEQ, supplier relations management, client relations management, maintenance, and contract management.\\/ul>
