· Daily Responsibilities:

o  Handle communication with vendors, contractors, and stakeholders to ensure smooth facility operations.

o  Implement administrative policies and maintain centralized filing and documentation systems.

o  Prepare cost estimations for maintenance and facility projects.

o  Manage invoices, Annual Maintenance Contracts (AMCs), Local Purchase Orders (LPOs), tender documents, and project reports.

o  Support bid submissions and ensure compliance with deadlines and requirements.

o  Provide administrative and operational support to the Facilities Manager.

o  Ensure compliance with health and safety regulations and company policies.

· Monthly Responsibilities:

o  Review and track supplier contracts for compliance and service standards.

o  Prepare month-end project reports.

o  Maintain accurate records of facility assets, service history, and vendor contacts.

o  Maintain a centralized database of contracts and supplier information.

o  Conduct inspections and audits of facilities to ensure quality standards.

o  Assist in developing and managing the annual facilities budget.
