Public Relation Officer

**Scope of the Role**:
Responsible for planning, organizing and carrying out Government relations functions and visa services in support of the Company and its employees. Responsible for keeping the Company in compliance with local laws and regulating departments.
**Accountabilities and Responsibilities**:
**Principal Accountabilities**
1. Follow up and Liaise with various govt. departments like municipality, labour office, social affairs, Interior ministry, Ministry of Labour, Police, Chamber of Commerce, Economic departments for complying the necessary for the smooth functioning of the Organization.
2. Follow up employees affairs regarding documents like CPR, work permit renewal, residence permit, NOC, reentry visa, CR renewal, Residency permit endorsements, with the related governmental authorities.
3. Advises management on matters pertaining to Government relations, such as Labor Law and Immigration department Procedures and keep track of all the statutory requirements.
**Key Responsibilities**:
**Database Management / Updates**
- Maintain the active Staff list with visa Labour, Card, MOL. PP.
- Maintain Trade License trackers, Files, original licenses.
- Set standards as per company policies and procedures and organise PRO records to be up-to-date at all times.
- Maintain absolute confidentiality of records.
**Employment contracts**
- Prepare, register Employment contracts with the Ministry.
- Track Renewal dates and do the required renewals after receiving the approvals.
- Ensure the Residence visas are renewed in line with the company policy and govt regulations.
**Passport control**
- Maintain the Passports of all the employees in safe custody.
- Release the PPs, after due considerations and approvals.
- Monitor the PP issues.
**Govt Department interactions and Advisory**
- Liaise with the Government departments, Ministries.
- Communicate all the new govt laws/regulations to the Management.
- Providing the senior management with the necessary support and guidance on the government related affairs.
- Provide legal advice concerning visas, work permits, labour cards and labour contracts to management as relevant.
- Interfaces with Embassies and coordinates areas of difficulty regarding visa procurement for employees and dependents.
**Visa Processing**
Arrange visas, work permit, and other related documents for the employees as per approvals and directions.
**A. **Visit visas**
- Review Request approval.
- Interact with typing centre.
- Ensure Sponsor’s approval signatures and submission business Visa [ Other countries ].
- Review, Approval and Validate the visa related documentation received.
**B. **Employment visas**
- Ensure the approvals and signatures of Sponsors.
- Submission of papers in Labour Dept.
- Ensure Bank Guarantee process is in order.
- Labour fee payment-A/Cs.
- Submission in Immigration.
- Endorsement of Residence Permit and Cancellations.
- Coordinates visa requirements / documentation and ensures visas are applied and obtained in a timely manner.
- Ensure Visa and contract renewals are done within the timelines.
**Commercial Permits / Licenses**
**Trade License**
- Validation of requirement documents.
- Track the Trade Licenses dates.
- Provide valid documentations for Store related matters.
**Labour/Police cases**
- Deal with the Absconding cases by informing Labour Dept.
- Liaise with PROs in handling the Theft cases [ Police ].
- Attend queries and advise colleagues, where required.
**Miscellaneous**
- Provide support to Colleagues / departments / divisions, where required.
- Submit Weekly employment visas, commercial Licenses report to PR Manager.
- Provide guidance to the PR Team in Ministry of Labour / Immigration / Chamber of Commerce / Municipality/ DEWA / Etisalat / Courts/ Free zone and other Governmental departments or permit agencies processes related to trade licences, company registration, renewals, etc.
**Sale / Promotion permit**
- Prepare required documents for Sale/Promotions and arrange for the required Permissions from the Economic department.
- Liaise with Operations team in facilitating the required documents.
**Qualifications, Skills and Abilities**:

- High school/Diploma.
- Knowledge of Govt related documentations.
- Evidence of Knowledge enhancement in relevant field.
**Experience**:
- Min 2/3 yrs experience in handling high volume Public relation activities, involving Govt organizations.

**Technical competencies**
- High-level knowledge of Legal and Labour laws / Govt regulations.
- Knowledge of generic employment contracts.
