**Job Description: Roles & Responsibilities**

**Property Management**
- Coordinate the property management team to ensure that high quality services are consistently provided to tenants.
- Coordinate incoming and outgoing inspections in accordance with both company and statutory requirements
- Prepare all necessary documentation relating to the leasing of properties, including management tenancy agreements, inspection reports (both outgoing and incoming).
- Income Budget, targets and optimize tenant occupancy level.
- Manage tenants’ relations, communications and customer services.
- Coordinate the interviewing and placement of prospective tenants, together with the completion of all associated documentation
- Conduct regular market appraisals for the purpose of advising the management of market movements and making recommendations for rental increases and so prospective clients can be provided with reliable and accurate management submissions
- Managing market campaigns and social media management.
- Make efforts to limit the number of rental arrears and tenancy tribunal appearances
- Follow up legal cases and liaising with lawyers and management. Recommend lease agreement review as required submit regular formal reporting showing tenant analysis and recommendations
- Ensure properties are maintained in accordance with the management’s instructions. Therefore, liaise regularly with both management and tenants to ensure repairs are carried out expeditiously, economically and to an acceptable standard
- Ensure the property management team complies with ethical standards and industry codes of conduct
- Ensure you keep abreast of market development and indicators
- Manage and maintain rent roll of properties
- Develop new business to build the property portfolio
- Administer the property management agreements and maintain proper tracking of renewals, amendment and rent increase
- Implement and administer policies and procedures within the properties division.
- Manage and maintain proper filing systems were information and data are accessible
- Manage new leasing negotiations for the best rates, liaising with leasing agents, fees negotiations, discounts negotiations.
- Manage and supervise contractors and workers on sites
- Prepare and implement strategic and operational plans
- Manage security and health and safety day to day operations as per HHP security policy and procedures
- Manage staff payroll, schedules, training and general HR management
- Follow up and implement Government procedures related to the leasing and clearance

**Stores Management**
- To oversee all operations of the stores not limited to inventory and to maintain the store policy and procedures.
- To oversee the store systems and recommend update and development
- Managing the day to day operations of receiving, storing, issuing, returning, and movement of inventory.
- Manage the store stock purchase indents. Manage the delivery of the ordered materials, inspecting materials and reconciles with LPOs and reports any damage or discrepancies
- To manage and control all storekeepers and store employees and insure completion of their daily tasks
- To develop and maintain good working relationship with the suppliers and help in evaluating suppliers.
- To manage the physical allocations of the materials and approve the requests of storing new items
- To maintain health and safety, hygiene, maintenance and security.
- To manage scrap, scrap sale and second-hand stored items
- To prepare periodic reports of entire store operations and update records for the store cost allocation
- To keep a tight control on stock movements and to have all items inventoried and issued correctly at all times.
