
Corporate Operations Assistant

We are seeking an accomplished Executive Assistant to provide exceptional support to our senior executive.
The ideal candidate will excel in managing complex projects, ensuring the smooth operation of the executive office.
- Directly reporting to the Managing Director
- Manage all phone calls and correspondence with strict confidentiality
- Efficiently coordinate calendars, appointments, and travel arrangements
- Daily independent correspondence such as reminders and follow-ups
- Effective diary management
- Day-to-day administrative tasks related to the MD's office
- Travel arrangements for the MD
- Management of Rental and Lease Agreements
- Collaboration with the Legal Manager/Head for pending matters, follow-up, and reporting
- Financial administration tasks
Responsibilities:
Human Resource Management:
- Initiate recruitment processes by identifying suitable candidates within the company's guidelines
- Finalize recruitment procedures once a candidate is selected, including offer letters, agreements, staff file preparation, and record updates
Administrative Duties:
- Procurement of kitchen items
- Office stationery procurement
- Coordination of printing jobs for office and factory stationery
- Preparation of purchase orders through inquiry and competitive quote selection, with tracking until delivery
Compliance and Governance:
- Handling of Rental and Lease Agreements
- Collaboration with the Legal Manager/Head for pending matters, follow-up, and reporting
Financial Services:
- Collection of financial statements from various departments
- Collaboration with the Head Finance and analysis of these statements
- Preparation of reports for the MD based on financial data
Requirements:
- Bachelor's degree in Business Administration/Finance, Office Management, or a related field (desired)
- A minimum of 7 years of experience as an executive secretary or similar position
- Exceptional organizational and time-management skills
- Proficiency in Microsoft Office Suite
- Outstanding communication and interpersonal abilities
- Mastery in handling confidential information
