Customer Service Representative Role Summary

The Customer Service Representative is a vital position within our organization, responsible for providing exceptional service to clients and supporting the efficient operation of our site. This role requires strong communication skills, attention to detail, and the ability to work in a fast-paced environment.

Key Responsibilities:
  • Process and input customer orders accurately and efficiently.
  • Run shipments from our Warehouse Management System (WMS) and ensure timely delivery.
  • Generate related paperwork and necessary information required for customer work orders.
  • Check orders for special requests and expedite as necessary.
  • Notify customers of any activity concerning their merchandise.
  • Follow up with other departments to ensure service standards are being met.
  • Assure proper invoicing of accounts by verifying customers as required.
  • Handle returned merchandise efficiently and provide proper credit to customers.

Customer Interfacing Activities:
  • Maintain good working relationships with customers through responsive communication and resolution of inquiries and complaints.
  • Serve as a liaison between the warehouse and customer regarding administration of accounts and between the office and customer regarding invoicing and credit changes.

Documentation and Data Entry:
  • Ensure accuracy of all receiving and shipping documents.
  • Gather and maintain data and records related to shipping and receiving activities.
  • Prepare reports concerning customer service as required by supervisors.
  • Assist in resolving discrepancies and ensuring accurate data entry.

Communication Skills:
  • Answer incoming phone calls in a cheerful and courteous manner.
  • Promptly route calls to the proper party and take messages when necessary.
  • Assist callers with general information and inquiries.
