As a key member of the RESO team, we are seeking an experienced Procurement Coordinator Expert to support our Senior Manager P&C in his role as the Secretary to the PMC meeting. The successful candidate will be responsible for coordinating weekly PMC meetings, preparing meeting agendas, minutes, action items, and documentation as necessary.
The ideal candidate will maintain a systematic and easily retrievable system for all correspondences with the BTB and Bapco Refining Departments, ensuring timely access to requested information or reference material. They will also manage the schedule of weekly PMC meetings, handle calendar invites, and coordinate changes to the schedule as required.
Main Responsibilities- Coordinate weekly PMC meetings by preparing meeting agendas, minutes, action items, and documentation.
- Maintain a systematic and easily retrievable system for all correspondences with the BTB and Bapco Refining Departments.
- Manage the schedule of weekly PMC meetings and handle calendar invites.
- Coordinate changes to the schedule as required.
- Draft all outgoing letters to the BTB for PMC review and approval based on content provided by Category team members.
- Coordinate with the Legal Department to organize their review of drafted letters.
- Receive, sort, distribute, and archive all incoming/outgoing letters without delay.
- Ensure BTB letters are signed by the appropriate signatory and passed to BTB through officially recognized channels.
- Act upon all correspondence to the Tender Board routed from the CEO office.
- Coordinate with Category team members and members of the Line Department to resolve follow-up points noted from PMC meetings.
The successful candidate should possess a Bachelor's degree in engineering or supply chain related disciplines and CIPS Level 5. Excellent command in written and spoken English is essential. A pleasant disposition, flexible personality, and ability to work under pressure to meet strict time deadlines are also required.
Strong communication skills at all levels within the organization are necessary, as well as the ability to proactively learn all Bahrain Tender Law articles with associated amendments, BTB Decisions, Circulars, and relevant Procurement procedures.
