Job Summary Store Administrator is responsible for providing advanced and diversified administrative support and has a wide range of duties which may include clerical tasks, booking inventory, obtaining Mall permissions, maintaining Store SOP files, keeping track of all important employee and municipality records, alerting the store manager well in advance of important document renewals, taking Operations meeting minutes, connecting with customers, writing reports/emails and prioritizing work based on urgency. Store Administrator duties include providing clear communication, collaboration and support on a day-to-day basis to maximize store standards and support the store Management team. The position requires a high level of integrity, as this role is likely to be exposed to confidential and sensitive information. Job Responsibilities Answering all telephone calls, internal (the office, other stores, warehouse, etc.) and external (clients, suppliers, customers, etc.) as per the Store's standard protocol. Promptly handles all standard phone inquiries with regards to store location, store timings, instore promotions, particular items or services, events, etc. Further inquiries need to be directed to the right person by email (not urgent) or by phone (urgent). Coordination with other departments on behalf of the store (Finance, Buying, Warehouse, IT, etc.) including preparing request forms based on Supervisor/ASM input, sending it out, and following up as per completion date. Preparing presentations/reports as and when required and to the highest quality. Ensure all communication is received on time and to the highest relevant standards. Managing all records and correspondence – on time and in proper order for immediate retrieval. Maintaining a harmonious relationship with internal and external customers. Maintain all store SOP files and update the store file on a regular basis. Meet deadlines on submitting reports (daily, weekly and monthly) to Finance, HR, Buying, Warehouse, IT, etc. Ensure all related inventory records are maintained at the store and all physical inventory document files are acknowledged. Assist with store incoming/outgoing inventory process by using LS Retail/Navision system. Assist with store stock request/transfer process by using LS Retail/Navision. Assist and plan in advance for store stock take process and complete related administration documents/procedures. Work with store inventory module which includes accepting day-to-day incoming and outgoing inventory. All documents related to inventory should be verified and accepted in the system. Coordinate with all AMC vendors and schedule the service date, also coordinate with mall management for obtaining required permissions. Keep track of all employee-related documents such as Basic Food Hygiene Training certificate, Occupational Health card, Visa, Emirates ID, etc. Work as customer service assistant and support the team when needed.
