Facilities Manager

Duties and Responsibilities:
Maintenance
- Maintain the safety and security of all company facilities.
- Ensure all policies and procedures of the facility are enforced.
- Responsible for creating work schedules of maintenance and security guards to assure the properties are monitored at all times.
- Direct all maintenance staff for any concerns and ensure safety and security policies are being followed.
- Process the job order request and prepare LPO whenever required.
- Attend to building and construction requirement.
- Coordinate with concern department on obtaining necessary permit for the building construction.
- Plan, develop and implement safety precautions on the coordinated construction plan.
- Communicate with external contacts such as engineer, architect and construction personnel.
- Ensure that constructions are executed as planned and ensure a safe and secure building facilities.
- Review the terms and conditions of lease agreement as deemed necessary and assist in negotiation for acquiring new facility.
- Prepare monthly reports, invoices, keep records and evaluate employee performance as assigned.
- Monitor maintenance and security employees’ attendance and overtime and prepare timesheet summary on monthly basis.
- Ensure proper invoicing based on brands for jobs done where brands share same building, premise, etc
- Coordinate with service maintenance suppliers for any service requirement
- Keep a list of all spare parts which are imported and used in store.
- Respond to facility inquiries, problems and resolve conflicts.
Accommodation
- Ensure the cleanliness of the entire accommodation.
- Ensure that employees are following the building safety precautions.
- Responsible for monitoring staff movements, slot assignment, maintain a record of employees staying in each flat/unit.
- Keep a record of incidents occurs in the accommodation.
- Report any irregular activities and ensure that accommodation rules and regulations are implemented.
- Ensure that all company properties and equipment are utilized by employees in a safe manner at all times.
- Keep an inventory record of company properties and equipment such as beds, closets, fridge, gas cylinder etc.
- Responsible for the disposal of unused furniture and equipment
- Coordinate with department heads for any accommodation concerns.
- Conduct weekly inspection of the accommodation.
- Notify the staff for any misuse of accommodation or not following the rules.
Transport
- Ensure that all vehicles are clean and maintain by the driver as per the assigned schedule.
- Ensure that all drivers are wearing the prescribed uniform while on duty.
- Ensure that driver’s monitors the bi-weekly service once 5000km is reached.
- Prepare drivers route and schedule and ensure that hand over of records such as time/km/checking the condition of vehicle is done before the start of shift.
- Ensure that all drivers are following the road rules and regulations.
- Orient the drivers on regular basis and resolve any conflicts e.g. staff transport, deliveries etc.
- Monitor all drivers’ overtime and ensure that regular schedule is being followed.
- Arrange the request for vehicle repair and payment.
- Read and interpret maps and driving directions to plan the most efficient routes.
- Report any vehicle maintenance problem.
- Monitor petrol expenses and kilometer run.
- Coordinate with Admin for the renewal of registration and insurance.
- Respond and coordinates for any transport request and provide transportation for VIPs.
- Ensure the on-time delivery of goods and services with a back-up plan in case of vehicle breakdown or service repair,
- Keep a track of all delivery motorcycle (insurance, registration, passing, fine) and timely inform office and restaurant about the same.
- Coordinate with operations for catering setup, logistic of food and staff.
Qualifications:
- Graduate of any related course
- Minimum of five (5) years of experience as Facilities Manager preferably from restaurant industry.
- Proficient in MS Office
- Excellent coordination skills
- Excellent communication skills both oral and written.
- Excellent negotiation skills
- Ability to handle multiple projects at a time.
- Ability to identify problems and resolve in a timely manner.
