**Job Title Parent Engagement Officer**

**Reports to **Head of Admissions

**OVERVIEW**

**ROLE AND RESPONSIBILITIES**

To act as the first point of contact for existing and prospective parents; the main role is to identify and anticipate the needs of parents.

**Prospective Parents**:

- Welcome all prospective parents to the school and deal with any initial enquiries.
- Ensure excellent customer service and conduct tours of the school for prospective families or organise tours for families with a member of the SLT or with a current student.
- Review initial documentation and assign a prospective family to a respective Admissions
- Work with the Head of Admissions and Senior Leadership Team in organising Open Days and activities with feeder pre-schools and schools.
- Work with the Marketing team on enquiry generating activities.
- Follows up on cold and withdrawn leads to maximise conversion.
- Represent the school at events/ feeder school visits etc.

**New Parents**:

- Creates and shares welcome information packs to new families prior to joining the school.
- Organises the new parent orientation and prepares all collateral required for the event.
- Works with the transportation office, uniform shop, IT department, BSB shop and Elements by BSB (after-school programmes) to ensure that up-to-date information is provided to parents as part of the services provided by the school.
- Carries out settling-in calls to ensure that students and parents have integrated well into the school.
- Introduce new parents to current parents by identifying current families living in the same locality as the new parents and students in the same age groups and work closely with the

Deputy Heads and Heads of Schools.
- Help new parents integrate into Bahrain by introducing them to different social and cultural clubs.

**Existing Parents**:

- Work with the senior leadership on retention activities such as induction and transition days and coordinate these events.
- Host coffee mornings for parents from different year groups in school.
- Maintain open lines of communication with existing parents throughout the year.
- Manage the feedback process, acting as the initial point of contact for parents to ask questions or raise any issues. Liaise with the school faculty to resolve these issues and keep a record of any such queries.
- Organize parent/community events in order to engage parents in school activities and celebrations and support the school’s parent engagement activities.
- Work closely with parent bodies such as the Parent Community Committee and Parent

Advisory Group.
- Support and advertise the school’s parent engagement activities.
- Management and continual development of the school communication channels, such as newsletters, to ensure the school’s parent population is fully aware of the school's activities as a key driver of customer/student retention.
- Drive the communication on the re-enrollment process (student intentions) and work on increasing parent retention.
- Ensures that all relevant internal staff are informed when a pupil joins or leaves the School.
- Maintain up-to-date records of students who are leaving, ensuring the necessary pupil data is forwarded on to the relevant parties whenever a pupil leaves the School to attend an alternative institution
- Conduct exit interviews with parents who are leaving to ensure that measures are taken to try and retain the parent and information provided by the parent are communicated to the management.

**Data, Documentation, Leads and Tours Administration**
- Handling all parent-related matters promptly and reverting with updates a minimum of twice per day
- Ensuring presence at Front of House at all times from 7.30 AM to 8.00 AM and pick up from

2:30 PM to 3:00 PM to greet and speak with parents daily
- Ensuring a staff meeting is attended on a weekly basis regarding retention and admissions
- Contacting all parents within 2 days of a tour request
- Ensuring all school staff are aware of a tour at least not less than 24 hours before a tour
- Contacting parents within 24 hours of signing up for business development or marketing-related events
- Maintains accurate and up-to-date student data on iSAMS, and the admissions registers
- Manages inter-school requests (safeguarding, transfer certificates, etc).
- Ensures that all student enrolments have complied with the requirements of Bahrain

Ministry of Education.
