Events Execution Specialist

We are looking for a highly skilled and organized Events Execution Specialist to join our dynamic team. The ideal candidate will have a passion for planning and executing seamless events, strong logistical skills, and the ability to manage vendors and compliance processes efficiently.

Key Responsibilities:

  • Translate approved event checklists into actionable run-sheets, milestone timelines, and vendor PO packages.
  • Coordinate logistics including venue setup, décor installation, transportation, and other on-ground requirements under the guidance of senior management.
  • Support on-site event operations, including setup, rehearsals, event day execution, dismantling, and post-event wrap-up.
  • Assist in monitoring and tracking event expenses, identifying variances, and reporting to senior management for corrective actions.
  • Maintain accurate records of event expenses, such as contracts, receipts, and financial documents, for reference and audit purposes.
  • Ensure timely processing of supplier payments by tracking quotations, invoices, and LPOs, escalating issues as needed for approvals.
  • Handle routine license renewals and applications for signage, branding, and event permits.
  • Maintain internal logs to track compliance and license expirations, providing timely alerts to senior management.
  • Liaise with relevant municipal authorities for application follow-ups and document submissions.
  • Perform all other related duties as assigned, contributing to the success of the events function.

Qualifications & Experience:

  • Bachelor's degree in Marketing, Events Management, or a related field.
  • Minimum of 3 years of relevant experience in event execution, or an equivalent combination of education and experience.

  • Strong ability to collaborate with cross-functional teams and contribute to smooth event execution.
  • Experience working with vendors and stakeholders to ensure timely, quality delivery.
  • Proficient in managing budgets, tracking expenses, and maximizing cost efficiency.
  • Analytical mindset with the ability to identify and implement process enhancements.
  • Highly detail-oriented, organized, and skilled in managing multiple projects simultaneously.
