**Key Roles and Responsibilities**

**_Freight Forwarding_**
- Coordinates and executes all domestic/International import / export shipment bookings.
- Receives & Sends Pre-alerts for the shipments.
- Monitors J2J’s and open job files
- Tracks shipment ETA’s in advance in carriers tracking portal.
- Works closely with all carriers and ensures clients are advised timely on arrival of shipments.
- Sends arrival notice for the shipment (min 24hrs prior to the arrival of the shipment).
- Updates status to CS/Customer on status and delays in Arrival. Updates details in system (SECT updates)
- Checks B/L status (original or seaway BL) & freight details prior to arrival of shipment.
- Ensures all required shipping documents are received before arrival of shipment & screens the same with customs department.
- Validates the accuracy of commercial documents in advance if our clearance in involved.
- Coordinates with origin on missing documents and delays.
- Once arrival notice from carrier is received, checks for charges and arranges for payment.
- Prepares BL exchange/ D/O Collection in advance and keep it ready (time line: 2 days prior to arrival)
- Follows up for invoices and confirm cost in the system once delivery order for the shipment collected
- Coordinates with documentation department and other departments to ensure on-time clearance and delivery.
- Updates all sect events and job notes in time in systems.
- Ensures to enter accurate cost and revenue accruals in system
- Delivers shipments in time meeting the customer satisfaction
- Completes all billings on time as per defined KPI timelines

Coordinates with and manages all outsourced transporters

**_Internal and External Coordination_**
- Facilitates and expedites communication between clients, carriers, handling agents, suppliers, and

internal departments such as Sales and Customer Services, overseas office to establish best service possible.

**_Billing_**
- Ensures billings of files within the advised KPI’s; checks files for accuracy.

**_Others_**
- Reviews cost and sales accruals on weekly basis.
- Ensures all invoices for customer dispatched with supporting docs within lead time.
- Completes all required administrative work on file before archiving.
- Documents to be uploaded on DMS
- Close all prepayments within defined timelines.
