**1. Administrative Support**:
- Manage the Managing Director's calendar, schedule appointments, and arrange meetings, ensuring optimal time management and coordination.
- Prepare and organize documents, reports, and presentations for the Managing Director.
- Maintain accurate records, files, and databases, ensuring confidentiality and accessibility.
**2. Project Coordination**:
- Assist the Managing Director in overseeing and coordinating various projects, ensuring deadlines are met and objectives are achieved.
- Conduct research, gather data, and prepare reports to support decision-making and project planning.
- Coordinate with internal teams and external stakeholders to gather information, provide updates, and facilitate project progress.
**3. Communication Management**:
- Screen and prioritize incoming communication, filtering out irrelevant or low-priority requests.
- Liaise with other executives, managers, and team members to facilitate efficient communication flow within the organization.
**4. Meeting and Event Management**:
- Organize and coordinate meetings, conferences, and events, including logistics, venue selection, travel arrangements, and catering.
- Prepare meeting agendas, compile relevant documents, and take minutes during meetings.
- Follow up on action items, ensuring timely completion and documentation.
**5. Relationship Management**:
- Build and maintain positive relationships with key internal and external stakeholders, including clients, partners, and vendors.
- Coordinate meetings and engagements with stakeholders and assist in managing ongoing relationships.
KPIs
Your performance as an assistant to a Managing Director will be evaluated every quarter and at the end of the year and your key performance indicators (KPIs) are:
**2. Time Management**: Monitor how effectively you allocate time and prioritize tasks. This can be measured by tracking deadlines met, multitasking ability, and proactive task management.
**3. Communication**: Evaluate the ability to effectively communicate with internal and external stakeholders. This could include assessing the quality and clarity of written communication, responsiveness in addressing inquiries, and professional phone etiquette.
**4. Task Completion**: Assess the number and quality of tasks completed within a given period. This could include tracking the completion of projects, reports, and other deliverables.
**5. Problem Solving**: Measure the ability to identify and resolve issues independently. This could involve tracking the number of problems solved, customer satisfaction ratings, and feedback from colleagues.
**6. Initiative**: Assess the level of proactivity and initiative in identifying opportunities for improvement or taking on additional responsibilities. This could be measured by tracking suggestions implemented, new projects initiated, or feedback from the Managing Director.
**7. Confidentiality**: Evaluate the ability to handle sensitive information with discretion and maintain confidentiality. This could be measured by incidents of data breaches or breaches of confidentiality.
**8. Collaboration**: Measure the effectiveness in collaborating with other team members and departments. This could include tracking successful cross-functional projects, feedback from colleagues, and teamwork evaluations.
