**Scope of Project Coordinator**:
- Assist in planning the composition of the project team and preparation of project management documents.
- Identify and review program management approaches and obtain leadership buy-in.
- Review a detailed project plan with:
- Specific program phases (review, testing, and change request submission)
- Timelines
- Roles & responsibilities
- Dependencies and key risks
- Review key milestones to track project success and regularly report to stakeholders.
- Participate in project meetings, facilitate discussions, and coordinate with vendors.
- Maintain the Project Status Tracker.
- Record and distribute Minutes of Meetings.
- Ensure timely escalation if any activity is on the critical path.
- Coordinate with the vendor and company team for the timely completion of the project.
**Key Assumptions**:
- The PMO will work closely with the client-assigned project manager to coordinate information, communication, and escalation with senior management.
- Monthly steering committee meetings will be held with appropriate stakeholders, and weekly status update reports will be circulated.
- The PMO will work both on and off-site, with the time spent expected to vary depending on the project phases.
**Dependencies**:
- Activities related to the implementation project, carried out by the client’s IT staff or local contractors, cannot be estimated until more detailed information is available. Reliable timescales for these activities will be provided by the personnel undertaking the work.
- For Project Implementation, the following factors are assumed:
- Detailed requirements of the client’s processes will be provided.
- The Kiya.ai project team will have full access to necessary hardware and software facilities.
- The Kiya.ai project team will have full access to all Business Experts and senior management (decision-makers), as required.
- All documents, proposals, etc., will be signed off without delays.
- All queries raised or clarifications requested will be responded to immediately.
- The client’s project team members will be identified and available from the start or according to individual schedules.
- The client’s project team members will have the appropriate experience and authority to act as representatives for the relevant Business Areas, to prevent delays in resolving issues referred to branches or departments.
**Required Skills and Attributes**:
- A **very strong personality** with the ability to lead, influence, and manage both internal and external stakeholders effectively.
- Strong communication skills, with the ability to facilitate discussions and manage expectations at all levels of the organization.
- Ability to make quick decisions, manage multiple priorities, and escalate critical issues when needed.
- High resilience under pressure and the ability to maintain focus on key project objectives.
**Job Types**: Full-time, Contract
Contract length: 12 months
Pay: BD700.000 - BD1,300.000 per month
