Job Title: Operations Coordinator

About the Role

We are seeking an experienced and skilled Operations Coordinator to support our day-to-day administrative operations. The successful candidate will be responsible for ensuring efficient office management, coordination across departments, accurate documentation, and effective communication between staff, residents, families, and external stakeholders.

Key Responsibilities:
  • General Administration:
    • Work closely with cross-functional teams to ensure seamless collaboration.
    • Handle incoming and outgoing correspondence, emails, and documentation in a timely and organized manner.
    • Maintain filing systems (digital and physical) for residents, staff, and facility records, adhering to confidentiality protocols.
    • Assist with data entry, reports, and preparation of presentations to facilitate informed decision-making.
    • Provide clerical support to senior administrators, including scheduling meetings, appointments, and staff rosters as directed.
  • Resident & Family Support:
    • Assist in processing admission, discharge, and transfer paperwork, ensuring accuracy and compliance with regulatory requirements.
    • Support residents and families with non-clinical inquiries in a professional and empathetic manner, providing guidance and resources as needed.
    • Help coordinate resident activities and events, promoting engagement and community building.
  • Operations & Logistics:
    • Schedule meetings, appointments, and staff rosters as directed, utilizing technology to optimize efficiency.
    • Monitor and order office supplies, maintaining stock records and ensuring minimal waste.
    • Coordinate courier services, transport, and small-scale procurement requests, prioritizing cost-effectiveness and timeliness.
    • Assist in arranging facility maintenance requests and vendor visits, ensuring prompt resolution of issues.
  • Compliance & Documentation:
    • Support in maintaining accurate administrative and healthcare records, adhering to confidentiality and data protection protocols.
    • Assist in preparing documents for audits, inspections, and quality checks, ensuring compliance with regulatory requirements.
    • Ensure confidentiality of resident and staff information at all times, upholding the organization's commitment to transparency and trust.
