**Job Title Head of Operations**

**Department Operations**

**Reports to Executive Headmaster**

**OVERVIEW**

The Head of Operations is responsible for leading the implementation of strategies to manage all aspects of the School’s properties, including upkeep, care, maintenance, security, health and safety and facilities management in line with statutory and regulatory requirements. In addition, the purpose is to maintain refurbishments and other building advancements in terms of bidding, developing and procuring, and to act as the School representative with the suppliers and contractors.

The Head of Operations, together with the Deputy Head of Operations (Health & Safety), are the lead on all matters relating to premises and Health & Safety for annual inspections.

Responsible for managing new build projects ensuring they are completed on time and on budget, whilst maintaining quality and safety standards.

The Head of Operations is a member of the School’s Senior Leadership Team

**ROLES AND RESPONSIBILITIES**

**_Strategic Development_**
- To contribute to formulating the School’s operations strategy by assisting in evaluating school site and usage options and proposing creative and inspiring suggestions for improvements.
- To implement the operations strategy using physical development plans directing the activities of staff, consultants and contractors, where appropriate, for the execution of such projects and manage progress concerning time, quality and cost.
- To assist/manage the design and build of new projects from minor works, e.g. refurbishment of office spaces, to major projects, e.g. the planned new School campus.
- To develop strong and positive working relationships with School staff to maximise the utilisation of campus spaces and their development.
- To ensure appropriate safeguarding and health and safety compliance and that all risk assessments and contractor safety checks are carried out.

**_Maintenance of Grounds and Buildings_**
- Ensure that the School grounds, buildings and facilities are maintained to a high standard and meet the school’s current and future needs.
- Ensure daily and short-term maintenance of all areas of the School. This will involve both reactive maintenance and prioritising a short, medium and long-term maintenance programme.
- To manage the helpdesk functions for maintenance and general site requirements for teaching and lettings effectively.
- Prepare annual, costed plans for repairs and upgrades of School campus and facilities.
- Manage all works within budget.

**_Provision of Utilities and Services_**
- To take responsibility for and ensure all utility provision, including water, gas and electricity, is effectively managed and that usage minimises wastage.
- To ensure that boilers, air-conditioning, ventilation and mechanical equipment are maintained, insured and replaced as and when necessary.
- To work with the IT Head to facilitate the effective use and upkeep of all telephone communication lines.
- To provide adequate training, supervision and staff development for all employees within the Operations department.
- To ensure that all Operations staff and contractors comply with the safeguarding rules and procedures set by the school.
- To take responsibility for risk management in the Operations department, including disaster, contingency and continuity planning and managing the development and maintenance of a risk register.
- To liaise with public utilities to ensure that the water and electrical services are working uninterrupted at all the schools.
- To investigate utility billings to ensure that they do not exceed budget and to inform the Executive Head if there are concerns.
- To ensure external cleaning contractors maintain an impeccably clean campus and especially that all toilet facilities are maintained to a very high standard

**_Health& Safety, Fire Safety and Security_**
- The Head of Operations has overall responsibility for Fire Safety and the Security of the School. He/she must work alongside the senior management in the school to ensure all buildings comply with H&S regulations.
- To act as a key holder and ensure all key holders understand their responsibilities for site security. To ensure key holder lists are kept up to date.
- To ensure all fire systems and prevention equipment are adequately and appropriately installed and maintained and that all fire alarms and monitoring systems are regularly tested.
- To ensure Fire Risk Assessments and all relevant policies and procedures are fully compliant and carried out on a regular basis and that there is a positive relationship with the local Fire Service.
- To ensure all School facilities benefit from appropriate intruder alarms and CCTV protection, which are properly maintained and monitored and that these and the monitoring systems are regularly tested.
