**JOB TITLE**
Administrator, Leasing | MAF Properties | Shopping Mall

**ROLE SUMMARY**
The position is responsible to perform various administrative and general office works including diary management for the line manager effectively and in a timely manner to ensure smooth day to day functioning in the assigned area at Majid Al Futtaim Properties.

**ROLE PROFILE**
- Co-ordinate and liaise with all Department Heads / Managers in the office as per Line Manager’s instructions for periodic Status Reports, arranging staff meetings, etc.
- Files and retrieves records and correspondences within the shared drive. Archiving to be done in a timely and organized manner.
- Maintain the Line Manager’s schedule, prioritize tasks, and arrange meetings,Handle telephone inquiries, screen calls, and direct them appropriately.
- Maintain trackers, reports & dashboards for the leasing team (daily/monthly/quarterly).
- Files and retrieves records and correspondences within the shared drive. Archiving to be done in a timely and organized manner.
- Manage lead to deal process on CRM (brand and prospect creation, generate proposals, maintain accurate documentation on deal and notes and work closely with the lease contract management (LCM) team to issue lease agreements).
- Timely follow-ups with internal stakeholders (Lease contract Management, legal, tenants ,etc... other departments.
- Arrange business travel plans for line manager and the team as and when required.

**REQUIREMENTS**
- Education: Bachelor’s degree in Business Administration or equivalent; minimum requirement is a diploma in business administration/management.
- Experience: 2- 5 years of experience in secretarial tasks, diary management, and office administration in a reputable organization.
- Skills: Proficiency in administrative and organizational skills, with attention to detail.
- Communication: Strong verbal and written communication skills to liaise effectively with various stakeholders.
- Technical: Familiarity with CRM systems is a plus and data entry processes.
