**Reporting to**:Group HR & Admin Affairs Manager

**Purpose of the Job**:

- Provide general administrative support to all divisions within Alzayani Investments and follow up Administrative Department tasks in coordination with Sr. Officer Administration Services & Divisional Admin Officers on a timely basis also provide first-hand information to Managers, Superiors, and other related members to enhance the smooth running of Admin department.
- Ensure that an acceptable standard of Quality Management System is maintained in accordance with recognized working practice and company’s Quality Manual and Policy.

**Duties & Responsibilities**:

- Frequent inspection of the facilities for any sign of issues and executing the mechanical, civil and electrical jobs and report to senior officer as requested by the MD, GM, Group HR & Admin Affairs Manager.
- Coordinates and undertakes supplier evaluation for suppliers related to maintenance work at the Head office on a timely manner.
- Coordinates all required logistics/furniture to new joiners on information provided by the HR department in coordination with the relevant departments.
- Coordinates with suppliers, contracting and maintenance companies by ensuring the best price and quality to benefit from the economies of scale.
- Inspect and report to senior officer regarding cleanliness of the company premises and ensure that uniformity and standards are followed.
- Prepare and keep record of all incidents properly including employee involved in an HSE incident and forward the HSE related incidence to Division GM, Group HR & Admin Affairs Manager and Division HR.
- Identifying the operational issues of Safety equipment such as Fire Alarm, Hose reel system, Smoke sensors, water sprinklers, Fire alarm panels etc. on a regular basis and communicating with senior office for required action.
- Coordinate the vendors providing Firefighting equipment’s & ensure the jobs are executed as per the approved specification by timely renewing AMC’s.
- Coordinate division Admin Officers in execution of different projects/assignments at the same time with different supplier / vendor and its smooth execution without affecting the day-to-day operations of the divisions.
- Control of asset purchased through AZI HR Department, and any transfer or disposal of assets should be in line with the asset management system.
- Executing any special assignments/tasks given by the MD/ GM/ Group HR &Admin Affairs Manager.
- Undertake and execute Office Grocery, Consumables & Stationery item Purchases through SAP.
- Coordinate & support Air Ticket Purchases for the staff.
- Undertake Rapid Test for the employees of Zayani House as per requirements.
- Undertake all activities conducted by Sr. Officer Administration Service in his absence with the required consent.
- Prepare various reports on weekly, monthly and bi-monthly basis.

**Qualifications**:Bachelor’s Degree

**Experience**:Minimum 1- 2 years of related experience

**Skills**:Strong communication and presentation skills and abilities to interact with all levels of management & employees.

**Language**:Arabic & English
