**Job Title: Document Controller (with Odoo Software Experience)**
Department: Project Department
Location: Bahrain
**Job Overview**:
**Key Responsibilities**:
1. Document Management:
- Oversee the organization, storage, and tracking of company documents, ensuring all documents are properly categorized and stored for easy retrieval.
- Ensure that all documentation complies with company standards, industry regulations, and legal requirements.
- Maintain a clear, organized, and secure filing system, both digitally and physically.
- Regularly update and manage document templates, ensuring versions are properly tracked and archived.
- Ensure timely approval, review, and distribution of documents across departments.
- Coordinate document reviews, approvals, and revisions to ensure timely updates and accuracy.
2. Odoo Software Management:
- Use Odoo software to manage and control documents, including uploading, categorizing, and archiving files within the system.
- Leverage Odoo’s Document Management modules to streamline the document control process and enhance team collaboration.
- Provide support for Odoo users, ensuring correct use of the system for document-related activities.
- Integrate Odoo's document management features with other business operations to enhance data flow and document traceability.
- Ensure that all users are trained on Odoo's document management features, including document creation, editing, and approval workflows.
3. Collaboration and Communication:
- Work closely with other departments (such as HR, Legal, Finance, and Project Management) to ensure document control processes align with departmental requirements.
- Coordinate document transfers and access between teams to ensure smooth workflows.
- Act as the primary point of contact for document control-related inquiries within the company.
- Assist in preparing reports on document control status for senior management.
**Qualifications**:
- Bachelor’s degree in Business Administration, Information Management, or a related field (or equivalent work experience).
- Proven experience in document control, records management, administrative support, confidentiality.
- Proficiency in using Odoo software, specifically the Document Management and related modules.
- Excellent organizational skills with the ability to prioritize and manage multiple tasks effectively.
- Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint), and knowledge of other document management tools is a plus.
**Preferred Skills**:
- Previous experience with Odoo customization or integration within a company’s operational systems.
- Knowledge of industry-specific document control standards or certifications (e.g., ISO, HIPAA, etc.).
- Experience in coordinating document control in a fast-paced, multi-departmental environment.
- Familiarity with cloud-based document management solutions.
