F&b Events Coordinator

**Essential Duties**
- Reviews all Event Orders on a daily basis to determine staffing levels, location set-up, related supplies and decorating materials.
- Ensures events are set up on time, the quality of the product and level of service delivered.
- Maintains and improves on an ongoing basis the presentation of all events at the facility.
- Processes event checks and related documents in accordance with established accounting policies and procedures to include recording events on the POS system.
- Responsible for addressing complaints and resolving problems.
- Assist department members that may include, but is not limited to: Assistant Banquet Manager, Banquet Bartender, Banquet Captain, Banquet Chef, Banquet Server, and Catering Coordinator.
- Responsible for implementing and maintaining excellent service to achieve guest satisfaction.
- Regular and reliable attendance.
- Incorporates safe work practices in job performance.
- Coordinate appointments and visits to see the facilities
- Gather information on each event from Golf Operations, Sales and Food and Beverage to achieve quality event results
- Prepare and modify event contracts as requested
- Prepare and distribute materials and forms for the delivery of the event
- Book event space in the system
- Attendance an events meeting on a weekly basis to plan event orders well in advance
- Propose new ideas to improve the event planning and execution process
- Keep track of event finances including invoicing and reporting
- Manage the post event service excellence questionnaire with clients
- Assists in developing sound sales strategies for golf events, corporate outings, food & beverages including catering, weddings and meetings throughout the year.
- Work closely with our Events Manager, Tournament Coordinator and Marketing Manager.
- Proactively up sells groups to include food & beverage, merchandise, rentals, Academy, etc.
- Develop contacts with area corporate, local business, civic organization, and charity groups to promote our facility venues.
- Manages and evolves relationships with key wholesalers.
- Maintains the ability to understand golf course inventory during different times of year, allowing the facility to maximize revenues with all round types and golf groups.
- Strategically utilizes and understands different revenue opportunities for the facility, including local resorts and clubs, online third-party providers, the local competition and other partnerships or relationships, which offer revenue opportunities.
- Maintains positive contacts with previous customers and follow-up on all initial contacts of.
- Create detailed client proposals and successfully negotiate contracts.
- Maintains positive contacts with current, past and corporate clients and follow up on all initial contacts of potential new groups.
- Liaise with clients to ascertain their precise event requirements and handle client queries to ensure all event details are handled flawlessly
- Books banquets, caterings, and corresponding recreational activities.
- Ensures proper management of all events
- Participates in pre-event presentations, property tours, and customer meetings.
- Maintains flexibility to take on new and different tasks as directed
- Screening telephone calls, inquiries and request, and handling them when appropriate
- Manage departmental tasks related to events coordination
- Maintains adequate stock of necessary supplies.
**Job Knowledge & Requirements**
- Minimum 3 years of related experience.
- Excellent written and oral communication skills (must be fluent in English and Arabic)
- A multi-tasker with an aptitude for problem solving, organizational skills and an eye for detail
- An understanding of confidentiality issues and the use of discretion
- Ability to communicate with people of all levels of management comfortably and concisely.
- Possess initiative and ability to work independently
