Office Coordinator - Temporary for 4 Months

Provide administrative support for the Bahrain office and ensure smooth day-to-day operations.

Responsibilities

  • Answer telephone calls: direct them to the concerned employee and deal with basic inquiries.
  • Prepare and send outgoing faxes, mail, and courier parcels. Sort incoming mail, faxes, and courier deliveries for distribution.
  • Meet and greet visitors in a professional manner and direct them to their meeting or appointment.
  • Assist in the planning and preparation of meetings, events, and conference calls.
  • Handle business trip travel arrangements and hotel bookings for employees and clients. Arrange VIP "meet and greet" where appropriate.
  • Manage all interaction with various vendors (maintenance, supplies, etc.).
  • Handle purchase requests, process payment of invoices, and maintain office stationery and supplies.
  • Keep track of the office's petty cash and settle in line with the applicable policies and procedures.
  • Handle various correspondence on behalf of the office and maintain records and the office's filing system under the supervision of her/his direct manager.
  • Responsible for finalizing all legalization requests with different ministries and embassies.
  • Responsible for delivering documents to different organizations as well as visiting different ministries upon request.
  • Ensure compliance with all applicable AML/CTF rules and regulations as required in the conduct of the role.
  • Ensure timely completion of all relevant AML/CTF training provided by the Group.
  • Ensure response to AML, CTF & sanctions inquiries in a timely manner.

Job Requirements

  • Bachelor's degree in any discipline.
  • 0 - 2 years' experience in a similar role.
  • Good organizational skills.
  • Can multi-task and prioritize assignments and requests.
  • Excellent Microsoft Office skills (Word, Excel, and PowerPoint).
  • Good command of Arabic and English.
  • Excellent communication skills (written, verbal, and listening).
  • Able to build partnerships and work well in teams.
  • Can identify problems and refer/escalate complex issues to a higher level.
  • Detail-oriented; ensure deliverables are always of high quality.
