Office Coordinator " Temporary for 4 Months"

Purpose
Provide administrative support for the Bahrain office and ensure smooth day-to-day operations.
Responsibilities
- Answer telephone calls: direct them to the concerned employee and deal with basic enquires.
- Prepare and send outgoing faxes, mail and courier parcels. Sort incoming mail, faxes, and courier deliveries for distribution.
- Meet and greet visitors in a professional manner and direct them to their meeting or appointment.
- Assist in the planning and preparation of meetings, events and conference calls.
- Handle business trip travel arrangements and hotel bookings for employees and clients. Arrange VIP "meet and greet" where appropriate.
- Manage all interaction with various vendors (maintenance, supplies, etc.).
- Handle purchase requests, process payment of invoices, and maintain office stationery and supplies.
- Keep track of the office's petty cash and settle in line with the applicable policies and procedures.
- Handle various correspondence on behalf of the office and maintain records, and the office's filing system under the supervision of her/his direct manager.
- Responsible in finalizing all legalization requests with different ministries and embassies.
- Responsible in delivering documents to different organizations as well as visiting different ministries upon request.
- Ensure compliance with all applicable AML/CTF rules and regulations as required in the conduct of the role.
- Ensure timely completion of all relevant AML/CTF training provided by the Group.
- Ensure response to AML, CTF & sanctions inquiries in a timely manner.
Job Requirements
- Bachelor's degree in any discipline.
- 0 - 2 years' experience in a similar role.
- Good organisational skills.
- Can multi-task and prioritize assignments and requests.
- Excellent Microsoft Office skills (Word, Excel and Power point).
- Good command of the Arabic and English.
- Excellent communication skills (written, verbal and listening).
- Able to build partnerships and work well in teams.
- Can identify problems and refer/escalate complex issues to a higher level.
- Detail oriented; ensure deliverables are always of a high quality.
