Executive Assistant to Chairman

We are seeking an exceptionally skilled and experienced Executive Assistant to support a Chairman. This role requires a high level of professionalism, discretion, and the ability to handle confidential information with utmost sensitivity. As the Executive Assistant, you will be responsible for ensuring the smooth functioning of the Chairman's office by managing their schedule, coordinating meetings and events, and providing comprehensive administrative support.
**Responsibilities**:
- Serve as a key point of contact and liaison between the Chairman and internal/external stakeholders, maintaining effective relationships on their behalf.
- Manage the Chairman's calendar, proactively scheduling and prioritizing appointments, meetings, and travel arrangements.
- Prepare and organize meeting agendas, materials, and briefings, ensuring the Chairman is well-informed and prepared for all engagements.
- Coordinate and facilitate the Chairman's participation in conferences, events, and speaking engagements, including logistics and travel arrangements.
- Conduct thorough research and analysis, providing valuable insights and recommendations to support the Chairman's decision-making process.
- Prepare and review confidential correspondence, reports, presentations, and other documentation on behalf of the Chairman, ensuring accuracy and quality.
- Handle sensitive and confidential information, maintaining confidentiality and exercising excellent judgment in safeguarding such information.
- Act as a liaison with the Board of Directors, senior executives, and other key stakeholders, keeping them informed and managing communication effectively.
- Maintain an organized filing system, both physical and digital, for all documents, records, and correspondences related to the Chairman's office.
Qualifications:
- Bachelor's degree in Business Administration, Management, or a relevant field.
- Extensive experience (minimum of 8 years) in providing high-level executive support to C-level executives, preferably in a corporate or professional services environment.
- Exceptional organizational skills with the ability to multitask, prioritize effectively, and meet tight deadlines.
- Strong problem-solving and critical thinking abilities, with a proactive and solution-oriented approach.
- Excellent communication skills, both written and verbal, with the ability to liaise confidently with individuals at all levels.
- High level of discretion and integrity, with a demonstrated ability to handle confidential information.
- Exceptional attention to detail, with the ability to maintain accuracy in a fast-paced and dynamic work environment.
- Strong interpersonal skills, with a proven track record of working effectively both independently and as part of a team
